This policy explains what personal information the Future Doctors Program collects through this website, why we collect it, who we share it with, and the choices you have. It applies to futuredoctorsprogram.com and to the student, mentor and parent portals hosted on it.
1. Who we are
The Future Doctors Program is a pre-med education programme operated by Learn With Leaders. We act as the controller of the personal data described below. For any privacy question, data access request or deletion request, write to team@learnwithleaders.com.
2. What personal data we collect
Information you give us
Contact details — parent or guardian name, student name, email address, phone number including country code, and country or city.
Application details — school name, grade, programme and cohort chosen, track or subject interest, short written answers, and any notes you add to a form.
Payment details — the amount, currency, programme and payment reference of each transaction. Card numbers are entered on our payment processor’s hosted fields and are never received or stored by us.
Booking details — when you book a call, the name, email and time slot you submit to our scheduling tool.
Portal content — for enrolled students, attendance, submitted project work, practice responses, coach transcripts and progress records.
Account details — email address and authentication records if you create a login, including sign-in through Google.
Information collected automatically
Cookies and similar identifiers, described in section 7.
Analytics data such as pages viewed, referring page, approximate country, device and browser type. IP addresses are anonymised by our analytics tool.
Standard server and security logs generated when your browser requests a page.
3. How we collect it
Application and enrolment forms on the programme pages.
Checkout and payment pages.
Interest, masterclass registration and resource download forms.
Calendly bookings for calls with our team.
Email and WhatsApp replies you send us.
Cookies and analytics tags, subject to your consent choices.
4. Why we use it and on what basis
To deliver the programme — process applications, confirm enrolment, assign cohorts and mentors, run sessions, track attendance and issue programme records. Basis: performance of our agreement with you.
To take payment — process fees, reconcile transactions, handle billing queries and keep accounting records. Basis: contract and legal obligation.
To communicate — send confirmations, joining links, schedules, reminders and replies to your enquiries by email and WhatsApp. Basis: contract, or your request for information.
Marketing — occasional updates about programmes and free masterclasses to people who asked to hear from us. Basis: consent or legitimate interest. Every marketing email carries an unsubscribe link, and you can opt out at any time by replying or writing to us.
Analytics and improvement — understand which pages are useful and where people get stuck. Basis: consent, through the cookie banner.
Safety and legal compliance — prevent fraud and misuse, and meet legal and tax obligations. Basis: legitimate interest and legal obligation.
We do not sell personal data, and we do not use programme data or student work to train our own machine learning models.
5. Who we share data with
We share data only with service providers who process it on our behalf, under contract and only for the purposes above. The tools we currently use are:
Stripe — payment processing. Stripe receives your card details directly, plus the name, email and programme reference for the transaction.
Supabase — the database and file storage that hold applications, enrolment records and portal content.
Google Analytics 4 — website analytics, only if you allow analytics cookies.
Google Workspace (Gmail) — sending and receiving programme email.
Google Sign-In — optional login for the portals.
Google Drive — hosting the project papers shown in our public project showcase.
Calendly — scheduling calls with our team.
WATI (WhatsApp Business API) — programme messages and reminders on WhatsApp where you have given us your number.
Google Gemini, accessed through the Lovable AI Gateway — powering the AI counsellor and interview practice features. Prompts and practice responses are sent for processing to generate feedback.
Tavus — optional video coaching sessions in the interview practice feature.
Learn With Leaders — our operating organisation, whose shared programme catalogue and administrative systems support enrolment.
We may also disclose data where required by law, or to protect the rights and safety of our students, staff and users.
6. International transfers
We serve families in India, the UAE, the United States, the United Kingdom and elsewhere, and our providers operate globally, so your data may be processed outside your country. Where required, we rely on the safeguards offered by those providers, including standard contractual clauses.
7. Cookies
We use three categories of cookies, matching the choices in our cookie banner:
Strictly necessary — required for the site to work, including keeping you signed in, protecting forms and remembering your cookie choice. Always on.
Analytics — Google Analytics 4, for page views and engagement, with IP anonymisation. Set only with your permission.
Marketing — advertising cookies. Off by default.
Until you make a choice, analytics and marketing tags stay in a denied state. You can change your choice at any time using in the footer, or by clearing cookies in your browser. Third-party pages embedded on our site, such as the Calendly booking widget and Google Drive paper viewer, may set their own cookies under their own policies.
8. Students under 18 and parental consent
Our programmes are designed for students in Grades 5 to 12, so most participants are minors. Because of that:
Applications, enrolment and payment are completed by a parent or legal guardian, not by the child. Our forms ask for the parent or guardian’s name, email and phone number, and that adult is our point of contact throughout.
We do not knowingly create accounts for, market to, or collect data directly from children without the involvement of a parent or guardian. Where a student receives portal access, it is provided on the basis of the enrolment submitted by their parent or guardian.
We ask for the minimum about the student that the programme needs: name, grade, school and subject interest. We do not ask students for financial details, home address or government identifiers.
Sessions are run online by our team and mentors. Student work is only published, for example in our project showcase, with the consent of the parent or guardian.
A parent or guardian may review, correct or ask us to delete their child’s data at any time by writing to team@learnwithleaders.com.
If we learn that we hold data about a child collected without the required parental involvement, we delete it.
9. How long we keep data
Enquiries and incomplete applications — up to 24 months from your last contact with us, then deleted.
Enrolment and programme records — kept while the student is enrolled and for a reasonable period afterwards so we can verify participation and reissue programme records on request.
Payment and accounting records — kept for as long as tax and accounting law requires.
Marketing contacts — until you unsubscribe, after which we keep a minimal record of the opt-out so we do not contact you again.
Analytics data — retained according to our analytics tool’s configured retention period.
10. Your rights
Depending on where you live, you may have the right to access the data we hold about you, correct it, ask us to delete it, object to or restrict certain uses, withdraw consent, receive a copy in a portable format, and complain to your data protection authority.
To exercise any of these, email team@learnwithleaders.com from the address you used with us, telling us what you would like us to do. We aim to respond within 30 days. We may need to verify your identity, and where a request concerns a student, we will confirm the request comes from their parent or guardian.
11. Security
Data is held in access-controlled systems with row-level database permissions, encrypted connections, and staff access limited to those who need it. Card data never reaches our systems. No online service can promise perfect security, but we review our access rules and third-party integrations regularly.
12. Changes to this policy
When we change this policy, we update the date at the top of this page. Significant changes affecting enrolled families will also be notified by email.
